Heer Law is a fast-growing boutique intellectual property law firm located in downtown Toronto. We are looking for an ambitious and driven Office Manager to help manage the overall administration and operations of the law firm. This includes human resources, facilities, information technology, practice management and purchasing/vendor relations.
The firm has experienced annual revenue growth of over 45% in every year of operation and anticipates that the firm will again double over the next two years. The successful candidate must enjoy the challenge of continuously redeveloping the firm's operations to keep up with the firm's growth.
The ideal candidate will have prior experience in a professional services firm, strong communication skills, decisiveness, and analytical/problem-solving skills. The successful candidate must be self-motivating and self-directed to achieve their professional goals and the firm’s goals. This position will provide the successful candidate with a unique opportunity to accelerate their professional growth.
The office manager helps manage the overall administration and operations of the law firm and reports to the owner in regularly scheduled meetings. The office manager assumes responsibility for personnel management and administration, information technology, and facilities management. The office manager identifies and plans for the changing needs of the organization, shares responsibility with the owner for strategic planning and practice management, and contributes to cost-effective management throughout the organization.
Whether directly or through a team, the office manager will be responsible for most of the following:
Including systems analysis, creating, implementing and iterating polices and procedures, cost/benefit analyses, computer systems, systems development, records management, library/information management, office automation, document construction systems, information storage and retrieval, telecommunications, legal practice systems and other systems management functions.
Including space planning and design, purchasing, inventory control, records storage, reception/switchboard services, telecommunications, mail, courier and other facilities management functions.
Including recruiting, selection, training and development, performance evaluation, payroll and benefits administration, employee relations, motivation, counseling, disciplining, discharging, personnel data systems, job design, resource allocation and other human resource management functions for the legal, agent and support staff.
Including lawyer and law student recruiting, lawyer and law student training and development, support staff supervision and training, work product quality control, professional standards, substantive practice systems and other practice management functions.
Has knowledge of legal and/or other professional service organizations, and has experience with managing human resources, technology, and/or facilities.
Skills and Abilities:
Can identify and analyze issues and problems in management in the above areas, and recommend and implement solutions. Can manage office functions economically and efficiently, organize work, establish priorities and maintain good interpersonal relations and communications with lawyers, agents and support staff. Displays excellent supervisory and leadership skills. Demonstrates willingness and ability to delegate.
Graduation from a recognized college or university, or comparable work experience.
